About CivicSpark

CivicSpark is a national AmeriCorps program focused on building capacity of local government agencies and community organizations to address pressing community resilience issues including climate change, public health and the social determinants of health. The fellowship program provides a launchpad for more than 100 young professionals per year who are seeking careers in the public health, environmental and sustainability sectors. Since 2014, nearly 1,000 Fellows have provided over one million hours of service to more than 300 local public agencies through over 1,000 projects. CivicSpark currently operates in three states: California, Colorado, and Washington, with expansion to additional states anticipated in 2025.

About the Position

The Public Health Institute’s CivicSpark fellowship program is seeking a Program Implementation Coordinator. This position reports to a Program Implementation Manager and supports day-to-day coordination and execution of a variety of tasks involved with administering the CivicSpark fellowship program, focusing on direct fellow support and including training, event planning, recruitment, operations and communications. The ideal candidate will have strong communication, organizational, and project management skills with a growth mindset, and the ability to learn and apply new skills. This is an excellent opportunity to be involved and build expertise in program management and development of an AmeriCorps program, particularly in the fields of climate change, water resource management, affordable housing, and mobility.

This is a regular, full-time, remote position that is required to travel in Washington, Colorado, California, and other states identified as potential expansion areas. Based on the CivicSpark fellowship program’s business needs, candidates in the state of Washington are strongly preferred, followed by candidates who are based in Colorado and then in California. The individual hired for this position must be based in one of these three states.

Full salary range for this position: $62,968, to $90,167. The typical hiring range for this position is from $62.968 (minimum) to $76,568 (midpoint).  The starting salary is determined based on the candidate’s knowledge, skills, experience, as well as budget availability.

 

Essential Duties & Responsibilities

Fellow Support:

  • Direct Fellow support is the primary function of this role and will represent 60-70 percent of the Program Implementation Coordinator’s time.
  • Provide overarching and direct support to a cohort of 20-30 fellows on project implementation, site expectations, project and professional goal setting, program reporting, and case management.
  • Support administrative processes for Fellows.

Training:

  • Assist the CivicSpark Program Implementation Team with facilitating virtual fellow training, network calls, and other activities.
  • Assist with developing fellow training materials and the overall training curriculum, including PowerPoint slides, virtual meeting coordination and data and research analysis.
  • Support back-end systems management of fellow development assessment tools and processes.

Event Planning:

  • In collaboration with the CivicSpark Program Implementation Team, assist with virtual and in-person fellow training opportunities, including program orientation, Mid-Year Symposium, end-of-year celebrations, graduation and service days.
  • Assist with venue rentals, catering, scheduling and agenda development for CivicSpark in-person events.

Operations:

  • Assist with tracking, reporting, and analyzing impact metrics and performance outcomes.
  • In collaboration with other staff, assist with ensuring fellows complete required AmeriCorps documentation in a timely fashion, including weekly Fellow time sheets, monthly program reports, Fellow and partner assessments, and other documents as necessary.
  • Assist with the development, implementation, and continuous improvement of CivicSpark policies, processes, and workflows.
  • Assist with grant reporting.

Communications:

  • Assist with CivicSpark communications processes, including content development, newsletters, social media, and marketing to potential partners and fellows.
  • Assist with fellow communications, including mailing lists, listservs, file storage and organization.

Alumni Engagement

  • Assist with Alumni engagement via existing and new channels, such as the Alumni Board, coordinating Alumni guest speakers, supporting the Alumni-Fellow mentorship program, connecting Alumni with professional development opportunities, and / or leveraging alumni relationships to bring new resources to the program.

Diversity, Equity & Inclusion:

  • Assist with implementation of the CivicSpark Racial Equity Action Plan through all activities.
  • Assist the CivicSpark team and fellows with identifying opportunities to integrate diversity, equity, and inclusion into organizational activities and professional development.

Other

  • Conduct travel as required.
  • Perform other duties as assigned by the CivicSpark Program Implementation Manager or other senior CivicSpark staff members.

 

Minimum Qualifications

  • 3 years of relevant experience with program implementation; supervising and/or mentoring of fellows, interns and/or volunteers; training; event planning; recruitment; operations and/or communications.
  • Bachelor’s degree in Public Policy, Urban Planning, Environmental Studies, Sustainability, Business Administration, Political Science and Government, or a relevant field; or substitute with four additional years of relevant experience.

 

Other Qualifications

  • Ability to work remotely from the states of Washington, Colorado or California.
  • Ability to excel in a remote work environment.
  • Experience assisting with mentoring individuals, especially young adults.
  • Strong organizational and project management skills.
  • Experience with event planning, including developing agendas, coordinating with speakers, and organizing logistics.
  • Strong attention to detail and deadlines.
  • Knowledge of local government structures and functions particularly relating to policies or programs focused on climate change mitigation, adaptation and resilience, energy, and/or land-use planning in California, Colorado and / or Washington.
  • Excellent written and verbal communication skills.
  • Comfort with public speaking and facilitation.
  • Experience managing multiple projects.
  • Experience cultivating a culture of diversity and inclusion and advancing structural perspectives and improvements for equity and justice.
  • Drive to integrate racial equity into all program areas.
  • Ability to work well independently and as part of a team.
  • Familiarity with, or ability to learn, Google Suite, AirTable, Knowledge Base, WordPress Formsite, and / or Zapier.
  • Experience working in a nonprofit or government agency.
  • Experience with AmeriCorps or similar service-oriented programs.
  • Interest in learning about programs that build local community resilience.
  • Must be a citizen, national, or lawful permanent resident of the United States.
  • Ability to pass FBI, state, and NSOPW background checks required for the job.
