Position Summary

The Recruitment Coordinator supports the hiring for the United States Agency for International Development’s (USAID) Global Health Training and Advisory Support Contract (GHTASC). This includes supporting administration of the full cycle recruitment and hiring functions for the program.

This is a remote regular part-time position expected to work 50% FTE.

Full pay range for this position: $30.27 to $43.35 per hour. The typical hiring range for this position is from $30.27 (minimum) to $36.81 (midpoint) per hour. The starting wage is determined based on the candidate’s knowledge, skills, experience, as well as budget availability.

 

Essential Duties & Responsibilities

  • Uses job description (JD) templates to prepare JDs for job openings, sends the JDs to the recruiter for review/revision, routes the JDs to HR for approval, and posts positions on project applicant tracking system ICIMS and other sites when needed. Coordinates with PHI HR recruiter to make sure openings are also posted on PHI’s employment website.
  • Reviews resumes in the ATS, determines if candidates meet qualifications and shortlists best qualified candidates for position, recommends candidates for screening. Submits those candidates to recruiter for further review and action.
  • Conducts initial phone screening interviews of applicants using a standard script provided by the Adapts phone screening questions based on technical needs of position. Analyzes and determines which candidates are fully and best qualified for the position based on phone screens. Documents information from the calls and shares recommendations with the recruiter for further review.
  • Conducts resume anonymization for positions.
  • Schedules interviews for selected candidates and ensures interview logistics are shared with candidates.
  • Conducts reference and background checks and tracks Reviews and determines if candidates can be moved to offer process based on results.
  • Supporting with the candidate offer process by calculating candidate’s years of relevant experience.
  • Prepares and coordinates new hire paperwork and submission to PHI HR in support of the recruiter.
  • Drafts Verbal Offer Accepted and Final Offer Accepted emails to be sent to GHTASC Admin and FSO teams.
  • Updates Recruitment Trackers to capture recruitment updates and shares with GHTASC and PHI Grants & Contracts and HR departments.
  • Tracks processes related to candidates in ICIMS including dispositioning candidates accordingly.
  • Answers candidate questions and follows up accordingly.
  • Electronically files appropriate recruitment and hiring documents in project files.
  • Attends virtual career fairs during high volume periods. Screens career fair attendees to determine if they qualify for GHTASC positions. Provides recruiter with information on attendees determined to be qualified for GHTASC positions.
  • Performs other duties as assigned.

 

Minimum Qualifications

  • 2 years of related experience.
  • Associate’s degree required, or substitute with two additional years of relevant experience.

 

Other Qualifications

  • Experience with recruitment function, including posting positions to applicant tracking systems, shortlisting and determining candidates fit based on qualifications and experience, doing screening interviews, preparing new hire paperwork, and interacting with candidates is preferred.
  • Excellent organizational skills, experience with recruitment tracking systems, and follow-up in a timely manner.
  • Excellent attention to detail and ability to produce documents without errors.
  • Strong customer service skills.
  • Excellent oral and written communication skills.
  • Strong computer skills in a variety of software programs (Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat) and Internet use for purchasing and research.
  • Ability to be responsive to multiple requests and timelines.
  • Ability to exercise proper discretion and judgment with confidential information.
  • Ability to use initiative and independent judgment within established guidelines.
  • Experience with Applicant Tracking Systems preferred.
  • Knowledge of basic human resources functions and experience working as a Human Resources Assistant is preferred.
